CALL TO ORDER
A meeting of Winterchase Board of Directors was held at 5053 Vail Drive on Friday March 30th at 8:00 PM. Attendees included Mark Perdue, Connie Keller, Will Godfrey, and Greg Thompson (Parliamentarian).
APPROVAL OF MINUTES
The minutes from the BOD meeting held on February 22nd were approved unanimously.
APPROVAL OF FINANCIALS
Financials were presented by Will and approved unanimously.
As of the end of February, there is ~$18,000 in savings, and ~$4,500 in checking. The financial report from HMS shows that a couple of dues have been received. This will continue and help out the checking account.
MOTIONS
A motion was made by Connie and passed unanimously to push community events such as yard of the month, and a neighborhood yard sale.
A motion was made by Mark and passed unanimously to create a playground committee.
A motion was made by Will and passed unanimously to purchase QuickBooks for 2018.
A motion was made by Will and passed unanimously to set a budget of $500 for the May meeting.
A motion was made by Connie and passed unanimously to be willing to open the pool up to 2 weeks early depending on weather.
OLD BUSINESS
Water bill has been paid. Water company is willing to work with us on a reduced rate once we show proof of repair.
NEW BUSINESS
A playground committee has been created to work on replacing the playground by the pool. Playground has an initial budget of $2,000.
QuickBooks purchase was approved. HMS stated that they did not receive the necessary information from the accountant to know why the late fees were applied. The BOD recognizes that the accounting procedure paid for in 2017 did not provide assurances of balances as the accountant stated. All members must be treated fairly, including those who paid on time and remain current. The purchase of QuickBooks is in an effort to retrieve the documentation from the QuickBooks file given by the Treasurer at that time. Should the QuickBooks file not contain the necessary information, as HMS claims, an audit should be conducted to retrieve the late fees and apply them fairly.
