Board Meeting Minutes
December 4, 2016
The Board of Directors for the Winterchase Homeowner’s Association met on the above-stated date at Guston’s Grille. Attending the meeting were: President Pat Evans, Vice President Shirley Hutcheson and ACC Chairman John Zambroski. The meeting was called to order at 3:30 p.m.
Topics discussed were:
A) Winterchase HOA by-laws and registration with the Secretary of State. Several major inconsistencies were noted regarding our registration. Most important was the fact that a letter was sent by the Secretary of State to the HOA on May 09, 2015 stating that the HOA as an entity would be dissolved if the annual registration was not filed. As of 12/31/2015 for failure to file the annual registration, the HOA was dissolved. However, on September 29, 2016, an application for reinstatement of the HOA, as an entity, was filed with the Secretary of State. As all fines and penalties had been paid, the HOA was reinstated on 12/02/2016 by HMS. This information had, apparently, neither been discussed at previous meetings of the Board of Directors nor entered in the minutes of any meetings.
B) Possibility of setting up an e-mail account for the Association. All correspondence from homeowners would come to the e-mail account which would, in turn, go to each board member. This account would also eliminate the posting of individual board member e-mail addresses. All present thought this was a good idea and will look into this situation.
C) Taking no ACC action until after the New Year and setting up a set time, possibly March, to begin going through the neighborhood to evaluate all homes.
D) Posts on HOA Facebook page. This topic was tabled for another time.
E) Next meeting will be Sunday, January 8, 2017 at 3:00 p.m. Meeting site was not decided.
