CALL TO ORDER
A meeting of Winterchase Board of Directors was held at 5053 Vail Drive on Thursday October 17th at 8:00 PM. Attendees included Deborah Rogers, Doug McMinn, William Godfrey, Connie Keller, Mark Perdue, and Greg Thompson (Parliamentarian)
APPROVAL OF MINUTES
The minutes from the BOD meeting held on August 8th were approved unanimously.
APPROVAL OF FINANCIALS
Financials for August were presented by Will and approved unanimously.
Financials for September were presented by Will and approved unanimously.
HMS will be emailed about a past due payment not matching up.
7 homes from last year are past due on payment. 11 homes (counting roll over) from this year. Appropriate action will be taken soon.
MOTIONS
A motion was made by Will and passed unanimously to implement the following cost saving efforts.
- Water spigots at the pool house will be opened to drain, and water will be shut off.
- Trash and phone services will be suspended until the pool opens.
A motion was made by Mark and passed unanimously to renew the website domain for 5 years.
A motion was made by Deborah and passed unanimously for the landscaping company to clean out retention ponds and other neighborhood areas during winter season.
A motion was made by Deborah and passed unanimously for BB&T signatures to be the president (Deborah Rogers) and the treasurer (Will Godfrey).
OLD BUSINESS
Neighborhood yard sale was cancelled due to lack of interest. The board will revisit how to best support a community yard sale in spring of 2019.
Yard of the Month program will end in November and resume in spring. The board would like to highlight holiday decorations on Facebook.
The board evaluated and discussed minutes, financials, website, and social media to determine the effectiveness of the board. We have only received positive feedback, and unanimously decided that no changes are necessary.
Front sign pressure washing project will be scheduled. Homes near the signs will be asked to use, and be reimbursed, for water usage.
NEW BUSINESS
Website administrator will be contacted for billing information and website permissions.
BB&T transition will begin ASAP. Board members will have dues run first to test the system.
